This position provides direct administrative support to senior technical leaders and workflow across the National Security Professional Leadership group. This position will provide direct administrative support to the project and task managers within the National Security Professional Leadership Group. This position has the responsibility to establish, implement, and lead cohesive administrative processes that can consistently and effectively support client needs/interactions/demands, project deliverables, and satisfy all PNNL requirements. This position requires working with other administrative and support staff as well as providing leadership to other members of the administrative team and integrating successfully with other National Security Directorate (NSD) and Operational Systems & Technology Division (OS&T) administrative teams. Administrative support services are complex within a framework of standard policies & procedures with minimal supervision.
Create, coordinate and track Advanced Travel requests and reconcile travel/corporate card transactions.
Understands process of coordinating meetings, processing documents and how to electronically transmit materials to clients. Exercise a high-degree of sensitivity and confidentiality when dealing with business and personnel information, events and activities.
Independently gather, compile, track and review administrative data to ensure accuracy and completeness. This includes creating and maintaining Excel spreadsheets and charts for tracking a variety of portfolio, initiative, and project functions.
Identify & make recommendations to resolve administrative issues/processes affecting the organizational unit and teams to develop solutions. Develop solutions to a variety of complex problems based on established policy, precedent or knowledge of subject area. Demonstrate excellent communication.
Create and maintain a strong network and establish positive working relationships throughout the directorate, Laboratory and external customers and contacts. Mentor peers and junior staff.
High School Diploma 3-5 years’ experience in an administrative environment, or combination of education and experience.
6 or more years of progressively responsible administrative experience, or an equivalent combination of relevant training and experience
Must understand office support functions and possess the ability to effectively apply procedures, and direct and delegate workflow of others as appropriate.
Must be able to identify potential administrative problems/areas for continuous improvement, recommend solutions and assist with directing implementation.
Experience in planning meetings and coordinating travel.
