Job Description

Do you enjoy supporting a Project Manager rather than being Project Manager? Do you enjoy providing outstanding project financial planning and reporting and updating schedules and monthly reports? If so, this could be the job for you. This is a support position to project managers. This position provides project coordinator support and programmatic assistance to the PNNL Field Intelligence Element (FIE). The position reports to the FIE Programmatic Support Team Lead and will have the responsibility to directly support a diverse group of project managers, task managers, and program managers. The range of daily contacts includes managers and staff at all levels throughout PNNL. The incumbent will integrate successfully with other project coordinators and project managers within NSD and across PNNL in multiple locations. The position requires a proactive approach to problem solving and demonstrates creativity/initiative in addressing new challenges.

  • Tracking and analyzing monthly costs and commitments for a grouping of projects; including developing and maintaining estimates to complete and financial spreadsheets with current and accurate data, preparing and submitting accruals;

  • Assist in preparing monthly financial reports in accordance with program guidance

  • Soliciting and compiling input from Principal Investigators and Project Managers for monthly and quarterly reports;

  • Assisting in soliciting and compiling project records for retention and input to program share.

  • Advise program managers, project managers, task managers, and mid-career project coordinator in working through the PNNL project lifecycle processes (from proposal to closeout); as well as initiate and manage subcontracts through acquisition lifecycle;

  • Identify project management improvement and efficiency opportunities and implement processes; including budget, funding, schedule, and deliverables management;

  • Assisting with proposal calls by generating project cost estimates, coordinating proposal development efforts, and working with the Project Management Office to ensure timely submittal of proposals;

  • Provide mentorship of other Project Coordinators on the program and oversight of tasks and reporting;

Minimum Qualifications

  • Bachelor’s degree and 5+ years of relevant experience, or an advanced degree and 3+ years of relevant experience are required.

Preferred Qualifications

  • Work on complex problems and provide solutions; Identify improvement/efficiency opportunities; Manages proposal calls; Identifies potential issues impacting project execution and provides viable solutions; Uses concepts and knowledge of business systems to resolve complex issues in creative and effective ways; Exercises judgement in selecting methods, techniques and evaluation criteria to solve problems; Works independently with increasing responsibility, conducts mentoring for staff; Excellent communication skills required.

  • Expert knowledge and expertise in PNNL project lifecycle processes and business systems including but not limited to Project Portfolio Manager, Proposal Pricing System, Project Management Reports, Work Authorization Lifecycle System, and Electronic Prep and Risk.

  • Proficient in using MS Excel

  • Background Investigation: Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.
