We are searching for an Associate Senior (Level 2) Project Coordinator to assist externally funded projects with project and budget management, proposal development, and direct support to tasks within projects.
Responsibilities and Accountabilities:
The Project Coordinator will assist task leads and the project manager in daily coordination of activities including tracking progress and identifying/resolving obstacles. He/she communicates to internal and external clients; prepares purchase requisitions (PRs) and tracks procurements and service contracts throughout lifecycle; supports development of financial structures, work breakdown structures, and maintains financial integrity of projects. The Project Coordinator may perform some administrative tasks such and arranging meetings, developing agendas and preparing progress reports.
The Project Coordinator will primarily receive work assignments and direction from the project manager and task leads. In a matrixed capacity, the Project Coordinator may also receive taskings from the group leader, technical team lead, and other project staff according to project portfolio.
The position requires flexibility and the ability to balance competing priorities and resolve issues in a timely manner. He/she will be expected to identify potential budget and project management problems and recommend solutions; demonstrate sound judgement in taking appropriate actions and solving issues (seeking guidance from the group Project Coordinators as needed); identifying areas for continuous improvements, and working with others to develop solutions.
Knowledge of a wide-range of PNNL business systems is expected.
This position will be expected to work with non-sensitive, sensitive, and classified information as appropriate for individual projects. The person in this position must recognize and accept that they will be working in technical areas associated with topics related to the National Security of the United States.
Specific responsibilities include:
Coordinating monthly financial and status reports, participating in weekly and monthly project team meetings
Requesting and uploading monthly project reports and milestone deliverables to the Sponsor’s Confluence site
Formatting and transmitting project deliverables to Sponsors as needed.
Maintaining project SharePoint site documents, announcements, and calendars when requested.
Developing basic tracking tools and financial reports for new projects.
Acting as custodian for project records and ensuring records are uploaded into ERecords on a timely basis.
Making project purchases within B2B as needed.
Assigning project budgets and managing WBS structures.
At time, assist project managers and other project coordinators with updates to statements of work, EPRs, preparing cost sheets and WALS entries to accept new funding.
- High school diploma and 8+ years of relevant experience. Associate's degree and 4+ years of relevant experience. Bachelor’s degree.
Experience with internal PNNL programs (such as EPR, PPM, B2B, ATR, etc.)
Experience supporting Department of Defense Projects
Demonstrated intermediate to advanced Microsoft Word, Excel, and PowerPoint skills
Strong oral and written communication skills
Experience supporting projects using agile/scrum methodologies
