Job Description

This position is based in the Earth System Modeling Group and will provide support to projects across the Atmospheric Sciences and Global Change Division. The incumbent will work closely with Project Managers and will be an integral part of project teams working to address key scientific issues in climate science and related areas. Work assignments and direction will come from the group manager, senior project coordinators, project managers, business office specialists, sector/account managers, and other project staff as needed for projects with budgets ranging from approximately one hundred thousand to several million dollars. In this position, the incumbent is expected to identify potential budget and project management problems and recommend solutions, demonstrate sound judgment and take appropriate actions to solve issues with guidance from Senior Project Coordinators, identify areas for continued improvement and work with others to develop solutions. Specific tasks include:

  • Supporting existing projects in the ASGC Division research portfolio. Tasks include tracking budgets and status of project milestones and deliverables, tracking project labor, preparing field work proposals and annual operating plans, and assisting with development of renewal proposals.

  • Supporting proposals for new projects from the Department of Energy and other sponsors, including review of proposal calls, preparing cost sheets and additional financial forms. Assisting with coordination of larger proposal efforts as needed.

  • Working in close collaboration with the Division’s Project Coordinator team.

  • Preparing Purchase Requisitions and tracking procurements and service contracts throughout lifecycle.

  • Supporting Directorate business office in setting up financial structures, work breakdown structures, and maintains financial integrity.

  • Assisting with financial/contractual activities procurements, acquisitions, approvals, financial invalids, update financial spreadsheets, maintain work breakdown structures, etc.

  • Maintaining general and project files of all records, correspondence, and forms using the PNNL systems for closeout and archive.

  • Communicating effectively with staff and collaborators.

Minimum Qualifications

Bachelor's degree and up to 2+ years of relevant experience, or advanced degree.

Preferred Qualifications

  • Knowledge of government contracting, finance and accounting principles.

  • Experience with collaboration tools such as Sharepoint and Confluence.

  • Familiarity with PNNL financial and project management systems, as well as understanding of project management principals.

  • Knowledge of a wide-range of PNNL Business Systems, including MS Office platforms, particularly MS Access.

  • Ability to multi-task, work in a fast-paced environment with frequent interruptions and conflicting deadlines.

  • Strong organizational skills to meet the various needs of often quick turnaround ad hoc deliverables requested each week.
