Job Description

The primary purpose of this position is to provide comprehensive administrative support to the Applied Statistics & Computational Modeling Group residing in the Computing & Analytics Division. The successful candidate must be a highly competent, organized, and professional individual who is able to operate effectively in a complex interrupt-driven administrative environment. The candidate must be able to operate as an effective team member developing expertise in understanding, translating, and implementing procedures and policies while demonstrating exemplary skills in organization, judgment and confidentiality.

This position has the responsibility to establish and implement cohesive administrative processes that can consistently and effectively support complex technical projects and staff, while satisfying all PNNL requirements. The candidate will use their knowledge of PNNL policies and procedures along with experience of functioning as a primary resource to fulfill job requirements. Tasks are completed independently within the framework of established PNNL policies and procedures.

  • Proactively managing complex schedules and calendars with the outcome of optimally efficient use of time, maximum flexibility, awareness of changing priorities, and short response time.

  • Demonstrate advance use of the MS Office Suite (e.g., Outlook, Excel, One Note), demonstrate proficient use of standard office equipment;

  • Managing communications (email, phone, memos, etc.) with considerable skill, a very short response time, and mature judgment and awareness of sensitivities.

  • Preparing and coordinating complex agendas for sponsor visits, program reviews, and interview candidates.

  • Administration of a wide variety of PNNL management systems and procedures.

  • Schedule and provide logistics for meetings as well as participate and take meeting minutes.

  • Create and process travel requests and expense reports for travelers.

  • Processing materials through the PNNL release process (i.e., Information Release). with emphasis on the Derivative Classifier (DC) and Export Control review and approval.

  • Prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items.

  • Must understand office support functions and possess the ability to effectively apply procedures.

  • Work with minimal supervision; use discretion and good judgment about processing/disclosing sensitive or confidential information.

  • Must be able to identify potential administrative problems/areas for continuous improvement and work with others to develop solutions or recommend process improvements and innovations for the Group, Division or the Directorate.

  • Participates in routine Computing & Analytics Division administrator meetings to support networking, team development, and administrative activity coordination.

Minimum Qualifications

High school education and 2 years of experience in a clerical or administrative environment, or combination of education and experience.

Preferred Qualifications

  • Intermediate knowledge of policies, procedures and practices related to classified environments are essential.

  • Ability to demonstrate good communication, teaming and writing skills are required.

  • Must have working knowledge of commonly used computer applications such as MS Office skills including Outlook, Excel, One Note, and Word.

  • Must understand office support functions and possess the ability to effectively apply procedures, and direct and delegate workflow of others as appropriate.

  • Must be able to identify potential administrative problems/areas for continuous improvement, recommend solutions and assist with directing implementation.

  • Experience in planning meetings and coordinating travel

  • Background Investigation: Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.

  • Drug Testing: All Security Clearance (L or Q) positions will be considered by the Department of Energy to be Testing Designated Positions which means that they are subject to applicant, random, and for cause drug testing. In addition, applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).
