Assists in daily coordination of project(s) including preparing and maintaining project plans, budgets, and staffing requirements.
Tracks progress and identifies/resolves obstacles; communicates to internal and external clients.
Prepares purchase requisitions (PRs) and tracks procurements and service contracts throughout lifecycle.
Supports business office in setting up financial structures, work breakdown structures, and maintains financial integrity.
May perform some administrative tasks such and arranging meetings, developing agendas and preparing progress reports.
The Office of Radiological Security (ORS) is seeking an event coordinator to support the program’s training and workshop activities in both its international and domestic engagement efforts. The incumbent will arrange and contract the full range of logistics support for the various training, workshop, and meeting activities.
Plan and coordinate with ORS Regional Project Managers (RPMs), Project Managers, and Portfolio Managers to ensure needed logistical support is arranged for programmatic events;
Manage day-to-day operations and oversight of event activities in accordance with the expectation of the project team;
Prepare statements of work in coordination with the project team to provide for logistics and interpretation activities. Work with logistics contractors to identify event venues that meet the needs of the event. Coordinate with contracts specialists to ensure timely completion of the contracting process in time to support the scheduled event;
Interface and coordinate with other National Laboratories, contractor personnel, inter-agency and foreign governmental officials in support of event activities;
Manage/delegate the preparation of materials for the event, with duplicating and shipping offices. Coordinate with points of contact to ensure delivery or preparation of event materials;
Coordinate with travel SMEs and the travel office to arrange travel for event participants, as needed; and
Manage/delegate required export control checks for event participants, according to requirements.
- Bachelor's degree and up to 2+ years of relevant experience, or advanced degree.
Familiarity with PNNL business office requirements for conducting events;
Experience interacting with international stakeholders;
Ability to support high-level sponsors on-site during programmatic events;
Knowledge of contracting principles; and
Understanding of the objectives and goals of DOE’s Office of the Global Material Security.
