The Position:

Our administrators offer premier support services to our managers, staff, and customers, activities that are critical to the overall success of our organization. This position reports to the Director of the Research Computing Division within the Communications & Information Technology Directorate. You will also work closely with the Communications and IT administrative team to meet all organizational needs and deadlines. You will serve as a resource for management and staff on PNNL policies and procedures, organizational structure, and standard office procedures.

You team well with your administrative peers, management, and staff and leverage those partnerships to provide the highest level of impact to the organization. You have a desire to proactively partner with your manager, anticipate their needs and the needs of the broader team and be immersed in their activities to provide superior support. You use your excellent written and verbal communication and versatile interpersonal skills to foster effective working relationships with management, staff, and customers across the Laboratory. Your key responsibilities and accountabilities would include:

Staying abreast of your manager’s involvement in daily issues; ensuring that meetings and action items are addressed in a timely manner; monitoring schedules and calendars to track long-range planning activities; scheduling and coordinating logistics for meetings and workshops.

Independently composing and editing correspondence, reports, and presentation materials; screening communications and correspondence, responding to inquiries, making appropriate referrals, and prioritizing as needed.

Completing tasks and assignments as identified by the Division Director and other line managers that range from routine to complex. Supervision will vary from direct to minimal. Many tasks are performed independently within the framework of established PNNL policies and procedures and within designated deadline requirements and often must be completed simultaneously while ensuring work is consistent and of high quality.

Processing business travel and itineraries; purchasing equipment and supplies; executing other administrative duties using PNNL software such as travel, visitors, badging, expensing, etc.

Experience base should clearly demonstrate highly developed skills in the areas of office management, advanced technical skills, organization and attention to detail, work prioritization, judgment, discretion, conflict resolution, hosting executive level visitors, and taking independent action and follow-through.¿

The position requires a high energy level and tolerance for a complex, dynamic and demanding work environment. An ability to effectively reprioritize daily tasks as needed to help guide the team to meeting deadlines and reaching goals is a must.

Minimum Qualifications

  • High school education and 3-5 or more years of progressively responsible administrative experience, or an equivalent combination of relevant training and experience required.

Preferred Qualifications

  • Must be able to demonstrate proficient use of standard office equipment

  • Demonstrate proficient use Microsoft Office 365; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items

  • Must understand office support functions and possess the ability to effectively apply procedures, work independently, and direct workflow of others as appropriate

  • Must be able to identify potential administrative problems/areas for continuous improvement and recommend solutions

  • Must be able to: use discretion and good judgment; independently make decisions; positively interact with a wide-variety of PNNL staff and clients of all levels; resolve and/or advise management on a wide range of administrative issues; provide training and guidance to less senior or new staff when necessary

  • Excellent communication skills required
