The Advanced Computing, Mathematics & Data Division within the Physical and Computational Sciences Directorate (PCSD) seeks a highly motivated and dedicated individual to provide administrative support to the Data Sciences and Machine Intelligence Group. The individual in this position serves as an information resource and central point-of-contact for staff and visitors. This administrative position provides support to the group’s management team as well as a variety of scientists and projects. The successful applicant will also interact frequently with PNNL work-based learning representatives, safety representatives, move coordinators, laboratory managers, external collaborators, and sponsors.
This position offers a wide diversity of assignments. The administrator chosen for it will need to be flexible, able to multi-task, and team with others to ensure workflow, tasks, and support, and be able to prioritize and accomplish the assigned tasks within set deadlines. Duties include:
Function as a resource for routine and non-routine administrative issues regarding procedures, forms, and formats. Give appropriate guidance to staff on PNNL policies and procedures.
Prepare, proofread and edit written correspondence and documents.
Coordinate group events, off-sites and activities; including coordination of all logistics for event/meeting. Plan Meetings. Prepare agendas for staff or team meetings, publishe minutes and action items and follows up on delegated actions.
Interface with group staff and sponsors. Process high volume of standard forms, including awards, purchase requisitions, expense reimbursement, and personnel requisitions. Collect signatures and track all requests through completion (receipt of goods, payment, etc.).
Initiate and track technical documentation flow, including Information Release submissions and updates, maintain the tracking spreadsheet, submit to journals, coordinate revisions and resubmissions with authors/co-authors.
Coordinate complex travel for employees and visitors.
Potentially recommend process improvements and innovations for the Directorate, Division or Group.
High School Diploma 3-5 years’ experience in an administrative environment, or combination of education and experience.
Experience in planning meetings and coordinating travel.
Strong written and verbal communications skills.
Ability to work well in teams as well as independently, and capability to maintain effective working relationships at all levels with staff, external collaborators, and sponsors.
Advanced skills using MS Office Suite, including Outlook, Word, Excel and PowerPoint.
Ability to manage conflicting priorities and deadlines in a fast-paced environment, with customer service focus.
Knowledge of Battelle financial/business systems and charging guidelines.
Demonstrated strong work ethic and high level of productivity with minimal oversight.
Exceptional problem-solving skills, exercise sound judgment and strong customer service orientation.
Proven organizational skills with an ability to think proactively and take initiative.
Experience coordinating project visits, interviews, meetings, conferences, etc.
