We are looking for an energetic project administrator to be part of cutting-edge projects that are developing novel artificial intelligence solutions to address our nation’s toughest challenges in energy, science, and national security. This role will:
Provide aspects of administrative support to the project administrator and project team. Manages calendar, arranges travel, makes procurements, takes meeting notes, shares notes, and tracks and follows up on action items. Gather information for monthly report and distill input into a single report. Help track Tool Suite actions from proposal to project completion and metric updates. Posts information as requested to Confluence, and other internal media.
Support logistics for stakeholder meetings, team events, and special events, e.g. schedules meetings and reviews, creates agendas, schedules conference rooms, supports arranging audio/visual and catering, completes foreign national visit & assignment requests, badging, and travel arrangements, creates & facilitates MURAL boards, post to confluence-Announcement CA live.
Process standard forms including purchase requisitions, travel requests, and expense reimbursements. Collects signatures and tracks all requests through completion (receipt of goods, payment, etc.). Supports complex travel for employees and visitors.
- High School Diploma and 2+ years’ experience in an administrative environment or a combination of education and experience.
Requires a working knowledge of commonly used computer applications such as Microsoft Office Suite, internal software and internal lab business systems.
Selects, adapts and applies standard administrative skills for assigned tasks and known processes
Generally independent on daily work with limited supervision.
Ability to manage email with a high degree of speed and accuracy
Requires the ability to learn & interest to learn new tools. Such as Microsoft Office Suite, internal software and lab business systems. Ability to utilize the full function of Microsoft 365 such as Teams and various other apps.
Experience in planning meetings, creating agenda, taking notes, and follow-up on taskers.
Utilizes multitasking skill and ability to work with a project team.

In addition, applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).
