Job Description

  • The Nuclear Sciences Division is seeking an administrative assistant for their Radiological Materials Group. The NSD conducts applied research in nuclear materials behavior and nuclear materials processing in support of several PNNL missions including clean and efficient energy production, environmental remediation, and national security. This position is an integral part of the division’s administrative team and is critical to the success of the technical work done within the division.

  • This position is accountable to the Radiological Materials Group Leader, and will provide a full range of administrative, and general office duties of a responsible and confidential nature. Approximately 50% time will be spent in support of the Radiological Materials Group Leader, and 50% in support of the Manager for Nuclear Power Systems. .

  • This position will maintain effective working relationships with administrative counterparts across PNNL and within the Energy and Environment Directorate (EED).

Job duties include, but are not limited to:

  • Supports both the the Radiological Materials Group Leader as well as the manager for Nuclear Power Systems.

  • Field questions; answer or redirect inquiries relating to administrative requirements and procedures; act as a resource to the team on PNNL policies, procedures, and practices; and engaging the group leader for key input when appropriate.

  • Coordinate foreign and domestic travel and post travel cost reports.

  • Research, compile, and prepare information as requested for meetings, presentations, and reports.

  • Organize program review, facilitate internal meetings, create monthly reports.

  • Provide support to projects such as managing records, and preparing correspondence or reports

  • Manage, prioritize and execute multiple tasks simultaneously

  • Network with others within and outside the division to accomplish tasks.

  • Coordinate meetings, conferences, and symposia.

  • Manage email, and keep track of required actions and follow-ups.

  • Support purchasing via the purchase requisition system

  • Function as a backup to other administrators in the division.

  • Continually strive to enhance personal and professional skills and participate in professional development activities.

  • Identify and undertake stretch assignments.

Minimum Qualifications

  • High School Diploma and 3-5 years’ experience in an administrative environment, or combination of education and experience. Experience in planning meetings and coordinating travel required.

Preferred Qualifications

Working knowledge of Battelle, PNNL, and DOE policies and procedures, and organizational structure is preferred.

  • Ability to manage, prioritize and execute multiple tasks simultaneously and consistently, work independently, exercise sound judgment and initiative, work effectively in a team environment, and have strong written and oral communications skills. Use discretion and good judgment in processing and/or disclosing sensitive or confidential information.

  • Maintain and manage P-card purchases. Knowledge of B2B, EXPENSE, PeopleSoft, HPRM, PCardPro, RIDs, Project Management, and Finance programs and processes is desired.

  • Advanced knowledge of Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, OneNote, Teams).

  • Basic understanding of departmental and company policies, procedures and practices. Understands internal software programs.

  • Knowledge of Project Information Collection System: Nuclear Energy (PICS:NE)

  • Ability to independently prioritize and organize work.

  • Requires a working knowledge of commonly used computer applications such as Microsoft Office Suite, internal software and internal lab business systems. Ability to manage email with a high degree of speed and accuracy.

  • Strong written and verbal communication skills. Ability to articulate standard policy and procedures to multiple audience levels.
