Job Description

This Administrator level 3 position is within the Global Nuclear Science and Technology group and provides administrative and logiscical support to the projects and staff working in PNNL’s Radiochemical Processing laboratory (RPL), a DOE nuclear facility. The incumbent performs administrative and office support activities. Duties may include managing schedules, setting meetings, supporting communications, purchasing goods and services, arranging travel including processing travel expense reports, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.

Responsibilities and Accountabilities:

The Radiochemical Processing Laboratory (RPL) houses 120+ research scientists & engineers, facility & operations specialists, and support professionals. The mission of the RPL is to provide innovative science an technology solutions to problems of national importance. Of particular emphasis is science and technology focusing on nuclear and radiological materials where the RPL is among a very few facilities in the US able to perform such a wide range of research activities on nuclear materials.

The incumbent will function as the primary administrative support for all staff and projects with the RPL facility that report through the National Security Directorate. In this role, the incumbent will:

  • Provide administrative services that range from routine to complex, supporting one or multiple projects and sub-tasks.

  • Tasking will be received primarily from a few key project leads but also generally from all staff withint he same reporting structure

  • Interfaces with other administrators supporting RPL, including other RPL project & group administrators, project coordinators and training coordinator(s).

  • Prepares routine correspondence, reports, and presentation materials.

  • Monitors for compliance with policy and regulations.

  • Independently compiles, records, tracks & verifies accuracy of data, reconciles discrepancies.

  • Arranges domestic & complex foreign travel.

  • Sets an example for positive working relationships with coworkers and customers, both internal and external.

  • Independently screens calls, answers inquiries, makes appropriate referrals and prioritizes incoming mail.

The incumbent must demonstrate proficient use of standard office equipment; demonstrate use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items. Must understand office support functions and possess the ability to effectively apply procedures; work with minimal supervision; use discretion and good judgment about processing/disclosing sensitive or confidential information; direct workflow of others as appropriate. They must communicate and serve as an information resource on policies, guidelines, and procedures and demonstrate professionalism, tact, communicates in a positive manner, and exhibit discretion.

Minimum Qualifications

High School Diploma 3-5 years’ experience in an administrative environment, or combination of education and experience. Experience in planning meetings and coordinating travel is required.

  • Experience in working in large teams or in complex organizational environments
