Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.
This position interacts with community leaders, STEM stakeholders, dignitaries and PNSO.
Works with all levels of staff and management across the Lab.
Must understand the allowability and un-allowability of costs, due to the high volume of events the team plans.
Manages and maintains catering contracts for the Lab, ensuring all contracts with vendors, maintains the proper state licenses, insurance and signed documentation before coming onsite.
Manages CAP van logs, mileage and gas receipts; schedules maintenance appointments; ensures new insurance cards and van tabs are current/renewed. Provides a yearly updated list of drivers (name, home address, driver’s license number, etc.) to the insurance office.
This position will provide administrative support 60% to Community Affairs and 40% to other offices within External Affairs.
Provides back up and support to event planners on an as needed basis.
High school education and 3-5 years of progressively responsible administrative experience, or an equivalent combination of relevant training and experience required.
Must be able to demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items.
Must understand office support functions and possess the ability to apply procedures, work independently, and direct workflow of others as appropriate and effectively. Must be able to identify potential administrative problems/areas for continuous improvement and recommend solutions.
Must be able to use discretion and good judgment; independently make decisions; positively interact with a wide-variety of PNNL staff and clients of all levels; resolve and/or advise management on a wide range of administrative issues; provide training and guidance to less senior or new staff when necessary. Excellent communication skills required.
Working knowledge of departmental and company policies, procedures and practices. Provides suggestions for process improvements.
Independently prioritizes and organizes work. Routinely takes initiative with respect to their everyday work.
Interfaces with group personnel and sponsors.
Processes high volume of standard forms, including awards, purchase requisitions, expense reimbursements, and personnel requisitions.
Collects signatures and tracks all requests through completion (receipt of goods, payment, etc.).
Demonstrates ability to multi-task, prioritize and organize work under tight deadlines and changing priorities
Prepares, proofreads and edits written correspondence and documents.
