Job Description

We’re looking for a driven, energetic full-time (40 hours per week) administrator to organize and execute work as a member of the Computing & Analytics administrative team in PNNL’s National Security Directorate. The position provides direct support to project managers and project teams supporting cutting-edge R&D.   • This position provides administrative programmatic support to key project activities in the CA Division

  • This position requires working with administrators and support staff across NSD and the laboratory. This position serves as a core member of the CA Division Administrator Team and is responsible for having a basic understanding the breadth of the division’s business and contribute to the novel administrative solutions to support the division’s growth.

  • The range of daily contacts for this position includes managers from across the Laboratory, government sponsors, a variety of collaborator and subcontractor organizations, candidates for hire, other administrative staff, and PNNL staff from multiple locations across the United States.

  • Additional duties include but are not limited to:

  • Reviewing incoming mail and electronic correspondence, identifies and forwards appropriate actions, and responds with limited supervision when appropriate, gathers and compiles input for response, and tracks actions and signature items

  • Organizes and attends meetings, prepares agendas, coordinates and gathers information, ensuring completeness and accuracy. Ensures that assignments, follow up and accountabilities are met.

  • Processes medium to high volume of standard forms, purchase requisitions, and expense reimbursements

  • Coordinates clearance transfers for PNNL staff visiting locations outside of PNNL.

  • Maintains knowledge of routine commitments and awareness of special/emerging circumstances and availability of staff to support organizational priorities, and closely communicates with administrative support staff across the Laboratory to meet these commitments.

  • Provides backup support in absence of other administrators when needed.

  • Maintains working knowledge of departmental and company policies, procedures and practices.

  • Uses discretion and good judgment about the disclosure or processing of sensitive, confidential, or classified information or materials.

  • This position will receive primary direction and assignments from project managers and the CA Division Administrator and will collaborate with the CA technical groups lead administrators but will work primarily independently within the framework of established policies and procedures, exercising discretion and latitude in determining workflow and objectives.

  • Participates in routine NSD administrator meetings for networking, teamwork, and administrative highlights.

Minimum Qualifications

  • High school education and 2 or more years of administrative experience, or an equivalent combination of relevant training and experience required.

Preferred Qualifications

  • Demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite;

  • Prioritize work, coordinate calendars/schedules, be responsible for commitments and action items, understand office support functions and possess the ability to effectively apply procedures, work independently, and direct workflow of others as appropriate.

  • Be able to identify potential administrative problems/areas for continuous improvement and recommend solutions.

  • Be able to: use discretion and good judgment; independently make decisions; positively interact with a wide-variety of PNNL staff and clients of all levels; resolve and/or advise management on a wide range of administrative issues; provide training and guidance to less senior or new staff when necessary. Excellent communication skills required.

  • Expert level expertise in Word and Outlook and basic level expertise in Excel and PowerPoint.

  • Excellent oral and written communication skills are required, as strong interpersonal skills to positively interact and team with a wide variety of staff and stakeholders are crucial to this position. The position requires a high energy level and tolerance for a dynamic, ambiguous, and sensitive work environment.

  • Work experience should demonstrate developed skills in effectively performing moderately complex administrative tasks with often competing priorities, office management, organization and attention to detail, work prioritization, judgment, discretion, identifying potential administrative issues/areas for continuous improvement and recommending solutions, and taking independent action and follow-through.

  • Applicants should have experience working in a customer service, teaming environment and must have the ability to adapt to rapidly changing priorities and manage a wide array of concurrent tasks with a variety of Microsoft and PNNL-developed software tools.
