This position provides administrative and non-technical support to the Chemical & Biological Signatures staff and their projects. As a member of the CBS administrative team the incumbent will work with the Technical Group Manager and a team of administrative and project coordinator staff to accomplish group objectives and assist with overflow work, while providing project support to key scientific staff.
Performs administrative and office support activities
Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing.
The incumbent will be expected to interact with PNNL management and staff to provide information on a wide-range of organizational and business issues to facilitate the appropriate flow of information to others.
The incumbent will anticipate program, project and group needs; identify areas for continuous improvement; and work with others to develop and implement solutions to meet needs and improve processes. This detailed understanding enhances the incumbent’s ability to provide support and anticipate administrative needs.
The incumbent will process a high volume of standard forms, including travel requests, reimbursements and purchase requisitions. The incumbent will be expected to track all requests through completion.
Due to the nature of this work, the incumbent will receive direction from multiple staff members and will need to refocus priorities accordingly. Requires proactive interaction with staff to identify and support scientists by managing schedules and keeping staff apprised of their action items and deadlines.

Provide excellent administrative support to CBS scientific staff
Identify problems and develop solutions
Set up high-level meetings and sponsor visits
Process standard forms, including travel requests, reimbursements and purchase requisitions
- High School Diploma 3-5 years’ experience in an administrative environment, or combination of education and experience. Experience in planning meetings and coordinating travel.
Must be able to demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items.
Must understand office support functions and possess the ability to apply procedures, work independently, and direct workflow of others as appropriate and effectively. Must be able to identify potential administrative problems/areas for continuous improvement and recommend solutions.
Must be able to use discretion and good judgment; independently make decisions; positively interact with a wide-variety of PNNL staff and clients of all levels; resolve and/or advise management on a wide range of administrative issues; provide training and guidance to less senior or new staff when necessary.
