This position provides administrative office support in two primary ways: directly to TDO Deputy Director for Licensing and the TDO Commercialization Managers (CM) team; and direct support for TDO’s overall licensing processes, functions, systems and programs. Support for the CM team includes managing items such as schedules, email and telephone responses, travel scheduling and expense reports, receiving and directing visitors, electronic and physical document creation (text, spreadsheets, presentations).
Support to the licensing processes, function and systems includes, at the direction of the the Deputy Director for Licensing, developing, supporting and updating TDO’s Operating Process Document, internal invention reviews and license management meetings, developing TDO-specific documentation and fielding questions from internal or external stakeholders. Support to TDO’s commercialization-related outreach and engagement programs includes Energy I-Corps, Technology Liaisons and TechAssist.
This position also provides general and logistics support to trade shows and other external events that engage current and potential licensing partners.
Duties may also include performing general administrative and office support and staff coordination activities, as directed by TDO’s lead administrator.
Knowledge, skills and abilities in these areas:
Excellent oral and written communication skills sufficient to draft communication at the direction of, and on behalf of, TDO Deputy Director and Commercialization Managers.
Meeting commitments and completing action items.
Ability to effectively understand and apply PNNL and Battelle procedures and reporting requirements.
Ability to use discretion and excellent judgment.
Ability to make independent decision making.
Ability to have positive interactions with a wide-variety of PNNL staff and partners of all levels, including external partners.
Ability to resolve and/or advise management on a wide range of administrative issues.
Ability to providetraining and guidance to less senior and/or new staff.
Ability to effectively communicate information within and behalf of TDO.
High school education and 3-5 years of experience in an administrative environment, or combination of education and experience.
Experience in planning meetings and coordinating travel.
Knowledge of PNNL departmental and company policies, procedures and practices. Routinely provides process improvements.
Knowledge of PNNL standard software including MS Office Suite, Teams and applications for travel, B2B, FNVA.
Ability to use standard office equipment
Ability to prioritize work and coordinate calendars/schedules
