This part-time 20 hours per week position provides administrative support to the Physical Sciences Division (PSD), where the scientific research focuses in areas ranging from materials science to energy related science to geochemistry to help solve some of the Department of Energy’s toughest challenges. As an Administrator II, candidate will provide direct project administrative support to visitors, technical staff, and project managers. This position is accountable to the Materials Sciences group leader and will provide a full range of administrative, clerical, and general office duties of a responsible and confidential nature. This position will provide continuous interface for staff in day-to-day business interactions as well as team with PSD administrators. Responsibilities include:
Serve as the resource and interface for staff. Address questions; answer or redirect inquiries relating to administrative requirements and procedures; act as a resource on PNNL policies, procedures, and practices; and engaging the division administrators for key input when appropriate.
Appropriately prioritize and perform multiple tasks simultaneously and consistently to expedite the flow of work.
Identify and participate in the development and implementation of new office processes and procedures.
Function as a backup to other administrators and work collaboratively with them in the division. Maintain effective working relationships with administrative counterparts across PNNL and within Physical & Computational Sciences Directorate (PCSD).
Network with others within and outside the group to accomplish tasks.
Coordinate meetings and visits.
Support purchasing via P-Card, B2B, and the purchase requisition system.
Arrange foreign and domestic travel and prepare travel expense reports.
Research, compile, and prepare information as requested for meetings, presentations, and reports.
Continually strive to enhance administrative skills and participate in professional development activities.
High School Diploma with 2+ years’ experience in a clerical or administrative environment, or combination of education and experience.
Ability to prioritize and organize workload under supervision, and consistently perform high quality work.
Requires a working knowledge of commonly used computer applications such as Microsoft Office Suite. Ability to manage email with a high degree of speed and accuracy.
Strong written and verbal communication skills and customer service focus. Ability to articulate standard policy and procedures to multiple audience levels.
Ability to multi-task, work independently, exercise sound judgment and initiative, work effectively in a team environment, and use discretion and good judgment in processing and/or disclosing sensitive or confidential information.
Working knowledge of Battelle, PNNL, and DOE policies and procedures, and organizational structure, and internal software and internal lab business systems.
Experience maintaining and managing P-card purchases. Knowledge of B2B, PeopleSoft, Project Management, and Finance programs and processes is desired.
