Job Description

The User Coordinator, in the EMSL User Program Services department, is responsible for delivering streamlined and cohesive customer service and administrative support to researchers around the world who have been awarded time on EMSL’s unique scientific instruments through a peer-reviewed proposal process. As a national scientific user facility sponsored by the Department of Energy Office of Biological and Environmental Research, EMSL accommodates 700 users each year and the User Coordinator serves as their primary contact. The User Coordinator is responsible for providing detailed information related to EMSL policies and procedures and coordinating the researchers’ onsite and remote access. In addition, this position is responsible for communicating routine and sensitive information directly with foreign and domestic universities, government laboratories, and private institutions, as well as a wide range of stakeholders, researchers, and visitors. The User Coordinator plays a key role in organizing, prioritizing, and monitoring the work flow and progression of tasks related to users’ access while satisfying all PNNL and EMSL safety and security regulations. The incumbent will work with EMSL’s project management team and scientific staff to coordinate access and provide appropriate training modules tailored to the individual’s work scope to ensure minimal delays or disruptions in the work schedule. In addition, the User Coordinator is responsible for handling a variety of user issues that may require involvement of other PNNL or EMSL subject matter experts.

Minimum Qualifications

•High school education and 6 or more years of progressively responsible administrative experience, or an equivalent combination of relevant training and experience required.

•Must be able to: demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items. Must understand office support functions and possess the ability to effectively apply procedures, work independently, and direct workflow of others as appropriate. Must be able to identify potential administrative problems/areas for continuous improvement and recommend solutions. Must be able to: use discretion and good judgment; independently make decisions; positively interact with a wide-variety of PNNL staff and clients of all levels; resolve and/or advise management on a wide range of administrative issues; provide training and guidance to less senior or new staff when necessary. Excellent communication skills required.

•Maintain a high level of interpersonal skills, have effective, accurate and persuasive communication skills, both formal and informal, written and oral, and enjoy building relationships with people at all stages of their life and from all corners of the world.

•Display the ability to maintain a high level of accuracy and confidentiality concerning researchers’ files and information and have a strong attention to detail with the ability to manage multiple tasks in a timely manner.

•Applicants should have experience working in a customer service, teaming environment and must have the ability to adapt to rapidly changing priorities and manage a wide array of concurrent tasks with a variety of Microsoft and PNNL-developed software tools.
